One Key, No Account: How Notes Wrangler Sync Works

Published: October 12, 2026. Updated: October 2026 by Andrew Apell, who builds Notes Wrangler

Every sync system asks for an account, and every account is a username to forget, a password to reset and a breach waiting to happen. Notes Wrangler skips all of it. There is no sign up, no sign in and no password. There is one random key, and whoever holds it can read and write the workspace.

The key looks like ntwr_live_ followed by 32 letters and digits. It is shown once at install, in the setup screen and in settings, for you to copy or download. From that moment the responsibility is yours, which is worth understanding properly before you write anything important.

This model will feel familiar if you have used API keys. Developers accept them without drama. A random string with a recognisable prefix, stored somewhere safe, rotated when exposed. Notes Wrangler gives that same model to everyone, with the prefix doing the recognition work so a pasted key is verifiable at a glance.

What the Key Protects Against, and What It Does Not

Because there is no account database, there is nothing to leak in the classic sense. No password hashes, no email list, no profile graph. An attacker who breaches the sync store finds workspaces indexed by random strings, with no names attached and no way to enumerate them. The security boundary is the key itself, which never travels except over an encrypted connection during sync.

The mirror image is that possession equals access. Anyone holding the key shares the workspace fully, reading and writing alike, with no read-only role and no per-device permissions. Treat the key like a house key. Lending it lends everything, and changing the locks means rotating to a new workspace.

Setting Up a Second Device

  1. On the first device, open settings and reveal the sync key, then copy it or download the key file.
  2. On the second device, open settings and enter that key in the sync key field, then save it. The field validates the shape on entry and says so when it is wrong.
  3. Press Sync now on either device. Notes flow both ways, matched per note, so neither side overwrites the other blindly.

That is the whole protocol. No pairing codes, no email links, no waiting for confirmation. Renewing next year extends the same key, so devices never need rejoining. Once notes are on every device they need not stop there: the Markdown export guide takes them into Notion and OneNote.

What Losing the Key Means

Without the key there is no way back in, because there is no account to prove ownership against. Support can resend a key with proof of payment, since the payer address is stored at checkout, but a key that was never purchased and never backed up is gone with its notes. Local notes on a device you still hold are unaffected, since they never needed the key in the first place.

Three habits make this a non problem:

  • Download the key file at install. The setup screen offers it before anything else, behind an acknowledgement that losing the key loses synced notes. Take it.
  • Keep it where keys live. A password manager or an encrypted backup, not a sticky note and not the same machine as the only copy.
  • Never paste it into a page. The key belongs in the extension settings field and nowhere else. Anyone holding it shares the workspace.
A password can be reset because someone knows who you are. A key cannot, because nobody does, and that is the feature.

Paying and Renewing

Sync, export and import are paid and yearly at 39 USD, with manual renewal and no automatic charge. The Upgrade button opens checkout directly. After expiry there is a 14-day grace period, then paid features lock until renewal, while local notes keep working throughout. Full terms sit on the sync page.

FAQ

What does the sync key look like?

It starts with ntwr_live_ followed by 32 letters and digits, and it is shown once at install for you to store somewhere safe.

What happens if I lose the key?

Synced notes cannot be recovered without it, because there is no account to prove ownership against. Keep a backup before you need one.

How does renewal work?

The plan is yearly at 39 USD with manual renewal. After expiry there is a 14-day grace period, then paid features lock until renewal. Local notes keep working throughout.

Can I share a workspace with someone?

Yes, by sharing the key, with the understanding that possession equals full access. There are no read-only roles.

Do local notes need the key?

No. Local notes never leave the device and keep working with or without a plan.
